Documentations: Basics
Machine and plant documentation can be stored in a structured manner in ePocket. The following elements are available to help you while structuring: Location, Documentation, Folder and File. When structuring, you must pay attention to the order of these elements. Some elements are optional, some elements are mandatory.
The "Documentation" element is mandatory for adding a documentation. The element can be independent of a location or be added below a location.

When you select a documentation, details are shown.

General machine information
The general machine information is provided in the details of a documentation. Users with corresponding roles can edit and expand this information. The general machine information can include data such as contact persons, the delivery date, the installation date or the operation date.

Tip
All entered machine information is available when customizing the documentation QR code. You can decide whether and which information from the general machine information is to be added to the sticker.
Edit machine information
- Select a documentation.
- Open the details of the documentation.
- Click the
icon in the General machine information drop-down list.
- Edit the general machine information.
- Click Save.
- Your changes are saved.
A new section is shown.
In addition to the specified information, you can add further individual machine information. Click the Add New Field drop-down list and select the type of field you want to create.
Link enclosures
If your machine or plant has several enclosures, you can link these enclosures with a documentation.
- Select a documentation.
- Open the details of the documentation.
- Click the
icon in the "Enclosures" area.
- The Link enclosure dialog opens.
- Select how you want to link the enclosure:
- Scan type plate QR code
- Enter data manually
Documentation QR codes
When a new documentation is created in ePocket, a documentation QR code is generated automatically. This QR code is located in the "Details" section of the respective documentation and can be downloaded there. Users who scan this QR code with the camera app of a mobile device or the scan function of ePocket are forwarded directly to the documentation and the corresponding organization.
The QR code is provided in ePocket as a sticker. This sticker can be adapted to a certain extent. You can select up to two machine information items from a list that are to be added to the sticker – provided that this information is stored in the "General machine information" area.

Download stickers
- Select a documentation.
- Open the details of the documentation.
- Click the
icon.
- Optional: Add information from the general machine information (e.g. contact persons, installation date, delivery date, etc.) to the sticker.
- Click Download.
- The sticker can be downloaded as a PDF file.
- Print the sticker and attach it to the corresponding enclosure.
- Each user who scans the QR code is forwarded to the documentation and the corresponding organization.
A dialog opens.
You can view a preview of your sticker before you download and print it.
The sticker can also be saved as a PNG file. If you drag & drop the preview of the sticker into a local folder and store it, the sticker is saved as a PNG file.

Alternatively, you can also send a link to the documentation. Users who click the link are forwarded to the documentation and the corresponding organization.
